Payment Policy

This Payment Policy explains how billing, payment methods, invoicing, and refunds work for engagements with WhiteCoders Pvt Ltd.
1. Payment Terms
All engagements are billed on a 50% upfront, 50% on delivery basis (or as set out in your project agreement). Importantly, we only begin work once your payment has cleared in our bank account,not on confirmation alone.
2. Accepted Payment Methods
International clients pay by bank transfer. Indian clients can pay by UPI or bank transfer (NEFT/RTGS). International invoices are issued in USD and Indian invoices in INR (₹); each invoice states the exact amount and currency due.
3. Invoicing & Transparency
Each project phase or billing cycle is invoiced at its start, and invoices are due within 7 business days of being issued. For full transparency, every client receives access to our CRM, where you can view your invoices, complete payment history, and project specifications and scope in one place, so you always know exactly what you've paid for and what's being built.
4. Late Payments
If an invoice becomes overdue, we pause all active work immediately until the balance is cleared, and a late fee of 3% per month (or part thereof) is applied to the outstanding amount. Engagements that remain unpaid beyond 15 days may be suspended or terminated, with deliverables and CRM access withheld until the account is settled.
5. Refund Policy
All payments are non-refundable. Because we only begin work after your payment has cleared in our bank account, the upfront 50% deposit and any subsequent payments cannot be refunded once received. Please review your project scope carefully before making payment.
6. Disputes
If you believe there is an error on an invoice, contact us at info@whitecoders.com within 30 days of the invoice date with supporting details, and we'll review it promptly.
